JOB DESCRIPTION

POSITION: Executive Assistant SUPERVISOR: President
FLSA STATUS: Exempt – Employee

The purpose of this job description is to provide a guide by which you and the management of Blueprint Capital Services, LLC (the “Companyâ€) can measure your progress and your ability to meet our commitments. The following should be taken as an overview of your responsibilities and duties as an employee of the Company, and not as a detailed description of how all tasks are to be accomplished.

SUMMARY OF THE POSITION

The Executive Assistant will provide senior administrative support primarily to the President and Chief Financial Officer (the “Officersâ€). Reporting directly to the President, the position will provide executive support in an individual working relationship. The Executive Assistant will provide and lead support to internal and external parties with a high level of professionalism and in a manner that reflects positively on the business.

The executive assistant must be creative and enjoy working in an entrepreneurial environment. The ideal person will have the ability to exercise sound judgment in a variety of situations, with strong written and verbal communication, administrative and organizational skills, and the ability to maintain a realistic balance between multiple priorities.

ESSENTIAL FUNCTIONS

• Manage sensitive issues with a high level of confidentiality and discretion.
• Maintain a daily calendar of meetings and events.
• Prepare Word, Excel, PowerPoint documents, presentations, agendas, reports, special projects and other documents in support of company objectives.
• Organize travel and accommodation for executives.
• Screen incoming phone calls, take and deliver precise messages, respond to requests by gathering and providing information and referring non-routine calls to the appropriate personnel.
• Excellent communication and time management skills; proven ability to meet deadlines.
• Ability to function well in a dynamic environment; perform additional tasks assigned by management.
• Write and prepare correspondence for internal announcements, board meetings and organizations with which executives are involved.
• Manage management contacts.
• Help prepare and manage presentations and decks.
• Be responsive to emails / texts / phone calls.
• Greet Executive guests by greeting them, in person or on the phone; respond to or direct inquiries.
• Use discretion, confidentiality and common sense in dealing with the affairs of the Company.
• Represent the company and the leaders in a positive light thanks to strong follow-up skills and good judgment.
• Conserve managers’ time by reading, researching, collecting and analyzing necessary information in advance.
• Accomplish ad hoc projects as assigned – such as personal events, races and / or family needs.
• Organize complex calendars and schedules; solve planning problems.

QUALIFICATIONS

• Bachelor’s degree preferred.
• 3+ years of related experience required in working in an Executive Assistant role supporting senior executives.
• Advanced command of Microsoft Office (Outlook, Word, Excel and PowerPoint).
• Ability to communicate effectively and professionally.
